Verified Fit (“we,” “us,” or “our”) operates the website located at verified-fit.com (the “Site”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our Site or submit information through our forms. Please read this policy carefully. If you disagree with its terms, please discontinue use of the Site.

We reserve the right to make changes to this Privacy Policy at any time. We will alert you about any changes by updating the Effective Date above. Your continued use of the Site after a revised policy is posted constitutes your acceptance of the changes.

1. Information We Collect

We collect information you voluntarily provide to us, as well as certain information collected automatically when you visit the Site.

Information You Provide:

• Name and email address when you submit a trainer waitlist or contact form
• Certification details (e.g., certification type and issuing organization) when applying to be listed as a trainer on our directory
• Location or city information provided as part of your trainer profile or contact submission
• Any other information you choose to include in messages or forms submitted through the Site

Information Collected Automatically:

• Basic server log data such as your IP address, browser type, and pages visited — collected automatically by our web hosting infrastructure
• Cookies and similar technologies (see Section 5 for details)

We do not collect financial information, government IDs, or sensitive personal data.

2. How We Use Your Information

We use the information we collect to:

• Communicate with you about your waitlist status, trainer application, and platform launch updates
• Verify trainer credentials and manage directory listings
• Respond to inquiries and provide support
• Improve the Site’s content and functionality over time
• Send you marketing or informational emails, where you have consented — you may opt out at any time (see Section 9)
• Comply with applicable legal obligations

3. How We Share Your Information

We do not sell your personal information. We do not share your information with advertisers. We may share your information only in the following limited circumstances:

• Service Providers: We share information with a small number of trusted third-party vendors who help us operate the Site (currently limited to our email platform, Brevo — see Section 4). These vendors are contractually required to protect your data and may not use it for their own purposes.
• Legal Requirements: We may disclose information if required to do so by law or in response to valid requests from public authorities (e.g., a court order or government agency).
• Business Transfers: If Verified Fit is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your data becomes subject to a different privacy policy.
• With Your Consent: We may share information for any other purpose with your explicit consent.

4. Third-Party Services

We currently use one third-party service that receives personal data:

Brevo (Email Platform):

We use Brevo (formerly Sendinblue) to manage email communications, including waitlist confirmations and platform updates. When you submit a form on our Site, your name and email address are transmitted to and stored by Brevo in order to send you these communications. Brevo’s privacy practices are governed by their Privacy Policy.

We do not currently use third-party advertising pixels, behavioral tracking tools, or analytics platforms that collect personal data. If this changes, we will update this policy accordingly.

5. Cookies

Our Site uses cookies — small text files stored on your device — primarily for essential site functionality (such as security and session management) through our WordPress platform and security plugins. We do not currently use advertising or behavioral tracking cookies.

You can control or delete cookies through your browser settings. Disabling essential cookies may affect the functionality of the Site.

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, or as required by applicable law. Specifically:

• Waitlist email addresses are retained until you unsubscribe or request deletion
• Trainer profile submissions are retained for the duration of your listing on the directory, or until you request removal

7. Security

We implement reasonable technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Our Site uses SSL encryption (HTTPS) and security monitoring tools. However, no method of data transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children’s Privacy

The Site is not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.

9. Your Rights and Choices

You have the following rights regarding your personal information:

• Access: Request a copy of the personal information we hold about you
• Correction: Request that we correct inaccurate or incomplete information
